Privacy Policy

This Privacy Policy explains how Bellshare Inc. ("Bellshare", "we", "us") handles data in connection with the Bellshare QuickBooks Automation application (the "Software"). The Software is an internal tool used by Bellshare to automate bookkeeping within its own QuickBooks Online company. It is not offered to the public and does not collect data from external end users.

Information We Access

Through the Intuit QuickBooks Online API (authorized via OAuth 2.0), the Software accesses:

• company information for the connected QuickBooks company;
• transaction records (such as purchases and bills), including dates, amounts, and vendor/payee names; and
• document attachments (receipts and similar files) stored on those transactions.

The Software also processes receipt files you provide locally in order to match them to transactions.

How We Use Information

Accessed information is used solely to:

• extract a receipt's vendor, date, and total in order to match it to a transaction;
• upload and attach receipts to the corresponding QuickBooks transactions;
• download and archive existing attachments to local files; and
• identify transactions that are missing a receipt.

Third-Party Services

To extract text from receipt images, the Software sends those images to Google's Gemini API. Google processes this content under its own terms and privacy policy. The Software connects to Intuit QuickBooks Online as the source of accounting data, governed by Intuit's terms and privacy policy. We do not use any other third-party data processors.

Storage and Retention

Data retrieved or produced by the Software — including downloaded attachments, extracted fields, and OAuth access/refresh tokens — is stored locally on Bellshare's own systems. Records are retained as needed for bookkeeping and tax purposes. Credentials and tokens are not stored in source control.

Data Sharing

We do not sell, rent, or share accessed information with any party except the third-party services described above as required to operate the Software, or as required by law.

Security

Access tokens and credentials are kept in access-restricted local files and are excluded from version control. Access to the Software and its data is limited to authorized Bellshare personnel.

Disconnecting and Deletion

Access can be revoked at any time from within QuickBooks Online (Apps → Manage), which invalidates the Software's tokens. Locally stored data may be deleted at any time.

Children's Privacy

The Software is a business tool and is not directed to children.

Changes to This Policy

We may update this Policy from time to time. Material changes will be reflected by the effective date above.
